2. Roles and Responsibilities (Controller & Processor)
When TalentSense users (employers, recruiters, or companies) upload CVs, candidate data, or job-related information, they act as the Data Controller. TalentSense, operated by InteliWeb, MB, acts solely as a Data Processor and processes such personal data only on documented instructions from the customer. Customers are responsible for: • Ensuring a lawful basis for collecting and processing candidate data • Informing candidates about how their data is processed • Obtaining any required consents TalentSense does not independently determine the purposes or means of processing candidate personal data. TalentSense acts as a Data Processor with respect to candidate personal data uploaded by customers, and as a Data Controller with respect to its own users' account, administrative, and communication data.
3. Personal Data We Process
Depending on how the platform is used, we may process: • Account information (name, email address, company details) • Uploaded documents (CVs, job descriptions, interview-related files) • Candidate data contained in uploaded documents • Technical and usage data (IP address, logs, browser information) TalentSense does not intentionally collect special categories of personal data unless such data is included by the customer in uploaded content.
4. Purpose of Processing
Personal data is processed to: • Provide and operate the TalentSense platform • Perform AI-assisted analysis of CVs and job descriptions • Ensure platform security, stability, and performance • Communicate with users regarding the service • Comply with applicable legal obligations TalentSense does not make automated employment decisions. All hiring and recruitment decisions remain the sole responsibility of the customer.
5. Use of Artificial Intelligence
TalentSense uses artificial intelligence technologies to support recruitment workflows and content analysis. Key safeguards include: • AI-generated results are advisory only • No fully automated decision-making with legal or significant effects • Customer data is not used to train AI models • AI processing is performed within the European Union or by GDPR-compliant providers Human judgment remains essential in all recruitment decisions.
6. Data Storage and Security
We apply industry-standard technical and organizational security measures, including: • Encryption of data in transit and at rest • Secure EU-based data centers • Strict access controls and authentication mechanisms • Ongoing monitoring and security updates All personal data is stored and processed within the European Union.
7. Data Retention
Personal data is retained only for as long as necessary to provide the service and fulfill legal obligations. Account-related data is deleted within a reasonable period after account termination, unless longer retention is required by law. Customers may request data deletion at any time.
8. Trial Period Tracking and Fraud Prevention
To prevent abuse of our free trial system, we retain your email address and trial usage status after account deletion. This serves our legitimate interest under GDPR Article 6(1)(f) for fraud prevention. When you delete your company, we anonymize your personal information (name, phone, etc.) but preserve your email and trial status to prevent repeated trial abuse. If you sign up again with the same email, you will not receive another trial period. The data retained is minimal (email + boolean flag) and used solely for fraud prevention.
9. Third-Party Processors
TalentSense uses trusted third-party service providers, including: • Hosting and database providers (EU-based) • Authentication services • Payment service providers • AI technology providers All third-party processors are contractually bound to comply with GDPR and process data solely on our instructions.
10. Your Rights Under GDPR
Where InteliWeb, MB acts as a Data Controller, individuals have the right to: • Access their personal data • Rectify inaccurate or incomplete data • Request erasure • Restrict or object to processing • Data portability Requests can be submitted to [email protected]. Where TalentSense acts as a Data Processor, data subject requests should be directed to the relevant customer acting as Data Controller.
11. Users Outside the European Union
TalentSense is primarily intended for users located in the European Union and is operated in accordance with European Union data protection laws, including the General Data Protection Regulation (GDPR). Users located outside the European Union, including users in the United States, may access and use the service on their own initiative. In such cases, TalentSense applies GDPR-level protections to personal data as a baseline standard. Specific rights or obligations under non-EU data protection laws may not apply unless explicitly required by applicable law.
